Your Role:

As the Division Administration Specialist, your role includes partnering with leadership across multiple communities to support operational excellence, business office functions, compliance initiatives, training, financial reviews, audits, and process improvement efforts. This position serves as a key resource to Executive Directors and Business Office Managers while helping ensure consistency, efficiency, and strong operational performance throughout the division.

Position Highlights:

Status: Full-Time, Exempt

Schedule: Traditional leadership workweek with flexibility required based on business and operational needs

Location: REMOTE - Chicago, IL

Travel: Travel required within the assigned division approximately 2 x per quarter based on additional need

What You'll Do:

  • Collaborate with community and divisional leadership to provide administrative and operational support across multiple senior living communities
  • Support hiring initiatives, HR audits, compliance reviews, onboarding, and training efforts
  • Train and support Executive Directors and Business Office Managers on policies, procedures, and operational best practices
  • Assist with financial reviews, collections processes, and business office performance initiatives
  • Identify operational deficiencies and recommend process improvements, corrective actions, and training opportunities
  • Develop and distribute reports, presentations, and business updates for leadership and stakeholders
  • Maintain administrative policies, procedures, and operational documentation
  • Monitor compliance with health, safety, regulatory, licensing, and certification requirements through audits and tracking processes
  • Coordinate and support interdepartmental projects and operational initiatives
  • Provide guidance and support to Business Office teams while evaluating performance and identifying development opportunities
  • Assist with annual budgeting processes and operational planning initiatives
  • Perform other duties and special projects as assigned

Qualifications:

  • Bachelor's degree in Business Administration, Human Resources, Finance, or a related field preferred
  • Minimum of two (2) years of leadership experience in operations, financial planning, human resources, business administration, or a related field required
  • Valid driver's license required
  • Strong analytical, organizational, and problem-solving skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong verbal, written, and presentation skills
  • Proficiency with Microsoft Office Suite and business applications
  • Ability to work independently while collaborating effectively with leaders at all levels
  • Experience supporting multiple locations, communities, or business units preferred
  • Senior living, healthcare, hospitality, or multi-site operations experience preferred
